  1. What is Prakriya Case Diary?

    Prakriya Case Diary is web application made specifically for Lawyers who want to spend less time tracking down information when information is necessary. Prakriya Case Diary helps lawyers structure information about cases easily so that it is available right at their finger tips when they really need it.

  2. What are the features of Prakriya Case Diary application?

    Prakriya Case Diary allows the users to manage clients, cases, postings, status updates, file attachments for cases and control who gets to see this data in their office and what they can do with the data.

  3. Is there an App for Prakriya Case Diary?

    We are currently testing an Android App for this application and will be announced once it is ready. Prakriya Case diary is a Web App that can easily be added to the homescreen by using the “Add to Home screen” function in Google Chrome browser in Android and Apple Safari browsers.

  4. How do I access Prakriya Case Diary?

    You can access Prakriya Case Diary by visiting http://prakriya.biz and click on the login button. The website will show multiple applications that are available under the Prakriya Eco System. You can select the “Case Diary” application where you will be redirected to the login page.

    You do not need to repeat the above steps every time you want to access Prakriya Case Diary. Once at the login page, you can bookmark it in your computer browser or smart phone browser, or you can use the “Add to home screen” features that is provided in Google Chrome and Safari Browsers.

  5. Can anyone register for a Prakriya Case Diary account?

    Yes, anyone can register for a Prakriya Case Diary account. But, we recommend only lawyers do so, since Prakriya Case diary may not be useful for anybody else right now.

    If you are the senior lawyer in you lawfirm and want to bring some order and digitalize your practise, we welcome you to try out our 30 day trial.

    If you are junior lawyer in a lawfirm, or an associate? Relentlessly ask your senior or office administrator, or beg them if need be (:D) to let your office try out our 30 day trial. Seriously!, there is nothing to loose.

  9. Who should create a Prakriya Case Diary account?

    Technically, anybody can, but we recommend that the person, who is in charge of an office or lawfirm, be the one to register for the Prakriya Case Diary account. It could be a senior lawyer, or it could an Administrative Officer or even someone from the IT department.

  10. I am a senior lawyer who is in charge of a Lawfirm. How can I use Prakriya Case Diary to manage my work efficiently?

    You can create an account in Prakriya Case Diary and add logins for other lawyers and clerks in your office. You can create roles and assign them to the other staffs so that you can control who can see what information and who can do what action. For more detailed step by step operation, refer to our Getting Started guide.

  11. I am a junior lawyer, who is employed in an office. How can I use Prakriya Case Diary? You can create an account in Prakriya Case Diary and use the application to track your cases, and clients. It’s best if you get prior permission from the head of the firm. Better yet, talk to your seniors and ask them to try out the 30 day free trial.
  12. I have a Prakriya Case diary account. How can I add logins for other lawyers in my office?

    You can goto the “Staffs” section from the main menu. Once there you can “Add new Staff” (provided you have a role assigned to you, with the necessary permission) and fill in the details and click on “Save Staff”. Refer to our Getting Started guide.

    Take care while filling in the username column. Once a username is used, it cannot be changed at the moment. Usernames are unique across the whole application. So, not only can a username be unique to your office, but unique to the application. While adding a new staff, if the username has already been taken, the same will be reported as an error.

    We are working on making the application work seemlessly with one login username. For the time being however, our recommendation is that username be suffixed with “@>office id<”, where >office id< should be replaced with the actual unique ID of the office.

  13. Can a lawyer have multiple Prakriya Case Diary logins?

    Yes, they can. A lawyer can have more than one login. Each login will take them to the office space for the respective offices. Each login username MUST BE and WILL BE unique. We are working on making the application work seemlessly with one login username.

    We also recommend that each login be tied to a different Primary Email ID.

  14. I have many staffs in my office and I want to control what each staff can do with their logins?

    Yes, you can control that using “Roles”. In the main menu, under the staffs section. You can view the roles option (provided you have the permission to manage roles or you are the admin user for the office).

    On going to the Roles page, you can create a new role, edit existing roles or delete roles. While creating a new role or editing an existing role, you are presented with a list of different permissions, to actions that are possible in the system. You can select the permissions that are applicable to the role that is being created or edited. On saving the role, the permission is tied to that role.

    A staff can have more than one role at any given point in time. This allows you to flexibly define roles and attach specific roles to each individual staff.

  15. How do I manage clients?

    You can Add, View, Edit and Remove Clients from the Clients page. To get there, you need to either click the “Total Clients” card in the homescreen or, click on the Clients section in the Main menu. Once at the Clients Management page, you can Add a new Client, Edit an existing Client, Search for Clients, Remove clients from this page. You require respective permissions to see the options on screen.

    To view more client details, you can click on the row in which the client-of-interest is being shown. To the right of the row, there is a view icon, which you can click also to view the details of the client.

    In the view page, you can view all the details of the clients and other associated data. There are three tabs which categorises all the data regarding the client.

    “General” tab shows general data related to client such as Name, Address and other contact details.

    “Cases” tab that shows all the cases the clients has with your office.

    “Status updates” tab that shows status updates related to the client. You can add Status updates related to the client as well (subject to you having the permission).

    Removing Clients will not cascade delete associated Cases

  16. How do I manage cases?

    You can Add, View, Edit and Remove Cases from the Cases page. To get there, you need to either click the “Total Cases” card in the homescreen or, click on the Cases section in the Main menu. Once at the Cases Management page, you can Add a new Case, Edit an existing Case, Search for Cases, Remove cases from this page. You require respective permissions to see the options on screen.

    To view more case details, you can click on the row in which the case-of-interest is being shown. To the right of the row, there is a view icon, which you can click also to view the details of the case.

    In the view page, you can view all the details of the case and other associated data. There are four tabs which categorises all the data regarding the case.

    “General” tab shows general data related to case such as Case number, court details, FIR details, Handling Staffs, Client name, Opposition details etc.

    “Postings” tab that shows all the postings that you have entered for this case. You can add postings for this case from this tab.

    “Status updates” tab that shows status updates related to the case. You can add Status updates related to the case as well.

    “Media Files” tab that shows all the media files that has been attached to this case. This can be scanned court documents, Draft petitions or other electronic documents.

    Removing Cases will not cascade delete associated data.

  17. How do I manage staffs?

    You can Add, View, Edit and Remove Staffs from the staffs page. To get there, you need to click on the Staffs section in the Main menu. Once at the Staffs Management page, you can Add a new Staff, Edit an existing Staff, Search for Staffs, Remove staffs from this page. You require respective permissions to see the options on screen.

    While creating staffs, apart from the Contact details and other information, you need to assign roles to the staff, so that they can have the permission to do the operations they need to, with the software. A staff can have more than one role attached to them. Adding multiple roles will give the staff all the permissions listed in all the selected roles.

    To view more staff details, you can click on the row in which the staff-of-interest is being shown. To the right of the row, there is a view icon, which you can click also to view the details of the staff.

    In the view page, you can view all the details of the staffs and other associated data. There is only one tab that contains all the data regarding the staff. “General” tab shows general data related to staff such as Name, Address and other contact details.

    Removing staffs will not cascade delete associated data.

  18. How do I manage roles?

    You can Add, View, Edit and Remove Roles from the roles page. To get there, you need to click on the Roles section in the Main menu. Once at the Roles Management page, you can Add a new role, Edit an existing role, Search for roles, Remove roles from this page. You require respective permissions to see the options on screen.

    While creating roles, make sure to select all the permissions that a person holding this role may need. A staff can have more than one role where all permissions from all the selected roles is granted.

    To view more role details, you can click on the row in which the role-of-interest is being shown. To the right of the row, there is a view icon, which you can click also to view the details of the role.

    In the view page, you can view all the details of the roles and other associated data. There is only one tab that contains all the data regarding the role. “General” tab shows general data related to role such as Name and all the permissions that a staff with this role will have.

    Removing roles will not cascade delete associated data.

  19. How do I manage Postings for cases?

    Postings for cases can be added in two ways. You can quick add a posting from the homescreen by clicking on the Floating “+” icon in the bottom right corner of the home screen and selecting “Create New Posting”. It will popup a window where you can select the case for which you want to add a posting, and enter the remaining relevant details. Once done, you can click on “Ok” to save the posting.

    The second way to create a posting will be to go into the case for which a new posting has to be added, go into the “Postings” tab and click on the “Add new posting” button. You can fill in the relevant details and save the posting by clicking on the “Ok” button.

  20. What is the use of the Calendar in the Home screen?

    The calendar in the home screen will show postings across the month. Postings will show up as green tags in the respective dates. You can click on a particular date to see what all postings are there for the particular date. This listing will show up in a small table to the left of the calendar.

  21. How do I manage file attachments for cases?

    Media files associated with a case can be attached to it. You can go into the case, for which the file has to be attached. In the view page, go to the “Media Files” tab. Once there, you can click on the “Add new Media File(s)” button.

    This will popup a window where you can fill in the necessary details. The file select tool will allow you to select multiple files at once if necessary. Once selected and a name entered for the file(s), you can click “Ok” which will start the file upload.

    File upload duration is determined by the speed of the internet connection and the speed of the device you are using Prakriya Case diary from.

  22. I forgot my login password. What can I do?

    If you forget your password, you can click on the “Forgot Password” link in the login page. There, you can enter the primary email id used for the account and click on the “Recover Account” button. This will generate a password recovery email and send it to the primary email id. If the Email does not exist, an error will be shown.

    When you receive the recovery email, click on the link provided in the email and create your new password.

    If you are recovering an admin account, provide the email address you used for registering the office account.

  23. I want to change my password. How can I do that?

    You can go to the profile page, by clicking on the “Profile” link in the main menu. Here you can click on the “Change Password” button and change your password.

    We always recommend setting a strong password, with a combination of alphabets (lower case and upper case), numbers and symbols. Never write down your password, or if you do, keep it very very safe.

    We are not responsible for data loss of theft due to your password being stolen, easy to guess in 3 tries or somebody found the password lying around your desk.

  24. I forgot my username. What can I do?

    If you forgot your username, you can still recover the account by following the forgot password strategy. Once your password is updated an email will be sent notifying you of the successful password change. In that email, your login username will also be mentioned.

  25. What if I forgot my username, password and Primary email id used?

    It becomes a bit tricky here. To protect customer data against potential data theft, we recommend you get in touch with your office admin to find the primary email id used, or username for your account.

    If your admin cannot help, you are welcome to send us a formal request via email, from the main office email id (Email ID used to create the office account), stating your situation and our customer support team will help you.

  26. I want to change my username. What can I do?

    At the moment, nothing.

  27. How can I figure out my Office Id?

    If you are the admin of the office, you would have received an email from Prakriya Case Diary when you registered the account. The office ID is mentioned there.

    If you don’t have access to that email, you can login with the admin credentials and goto the “Profile” page, in the main menu. If you login with the admin credentials, you get to see a second tab named “Office”. In that tab, your office details are present and you can get the ID from there.

  28. Is my data secure?

    Prakriya Case Diary is built with a multi tenant architecture. This means, that though the data resides in the same space, users can see only data pertaining to their offices. We do substantial amount of testing to verify that there are no data leaks.

  29. Will the developers use my data?

    The developers are not given direct access to the data. Login to the database is for strictly controlled and manual logins are done only for bug fixes or any upgrades or maintenance.

    We will not view or use your data that is in our system. We have automated backups which will backup your data every few days to make sure there is no data loss in case of any unforeseen problems.

    It is our company policy to not use your data in any kind other than with your prior WRITTEN CONSENT. There may be cases where, to fix a bug or track down an anomaly, we would require permission to view certain data. This will be intimated and the task will not be carried out without WRITTEN CONSENT from the respective office administrators.

  30. What sort of data does the developer see more often?

    We have a dashboard facility to let us track, how many offices are registered with our servers, how much data is being stored per office, and how much load is being put on the system by each office. This is for monitoring purposes and will act as a guide so that we can expand system capacity in the necessary areas as our eco-system becomes bigger.

    Details like office name, phone number, email id and address may be used for communication purposes from our support team, or sales team (only to let you know, your license may be about to expire or if there is any exciting offer related to license renewal)

  31. Can I download my data?

    At the moment, if you wish to download all your data, we will provide that to you as a zip file containing all the client details, case details, attached files etc. This cannot be done automatically. The administrator of the office has to send a request to info@prakriya.biz from the registered email id.

  32. Who owns the data?

    Its your data, you own it. It’s merely being kept in our servers. When you delete a data, its gone. We do not keep track of old data. Certain data like file attachments will not be deleted when the user deletes the file from the application. The server marks the file for deletion and will delete it when there is an idle time. This certainly will not take more than 24 hours to happen.

  33. What happens to the data once I wish to terminate my account?

    You are given a grace period of 1 month from date of termination. Due to a termination request from your end, or license expiration. During this grace period, you are most welcome to raise a request for downloading all your data. Once the grace period is done, the data is permanently purged from our systems.

  34. My license is about to expire and I do not wish to renew it. What happens to my data?

    You are given a grace period of 1 month from date of termination. Due to a termination request from your end, or license expiration. During this grace period, you are most welcome to raise a request for downloading all your data. Once the grace period is done, the data is permanently purged from our systems.

  35. What will happen if I am late for renewal of my license?

    There is a one month grace period after license expiration where the data will be kept safe. During which time, you can choose to renew the license, and or download your data. If you do not renew the license before grace period expires, the data is purged after the grace period.

  36. There seems to be something wrong. I cannot view anything when visiting the web app.

    Prakriya Case Diary does not work yet in Private browsing modes. So check if you are running a private browsing session. If so, trying running Prakriya Case diary in a normal browsing session.

    If not, there could be some sort of error with the server or a communication error. This usually clears up after sometime. You can wait and try again after some time.

    If that does not work you can try the following.

    1. You can visit the URL https://prakriya.dyndns.org:4002/logout to force your account to logout.
    2. Delete all your browser cache files and history.
    3. Try logging in again.

  37. The screen does not show the options mentioned in the FAQ. What is going on?

    The software is being updated constantly and FAQ may sometimes not be in sync. Please check after a couple of days.

    We currently offer a stand alone server option where you can run our server instance on a local Linux Server in your premises

    This allows for you to control data security yourself to a greater degree
